Revised 8/22/2007
The VP of Fundraising oversees the following Standing and Ad Hoc committees:
In addition to overseeing these committees, the VP of Fundraising shall continue researching new options for fundraising. Any fundraising activities should take into account the PTSA current goals and objectives. This VP needs to make very clear to the parent community the reason behind any fundraising event, i.e., what programs it will support or what curriculum enhancement it will purchase. In addition, the VP of Fundraising will make sure that the community is aware that contributions or gifts to the Cascade Ridge Elementary PTSA are tax deductible – the Cascade Ridge PTSA is a nonprofit organization exempt from Federal income tax under 501(c) (3) – and that some employers provide matching funds.
This committee sells popcorn prepared from our PTSA-owned machine to students and staff every Friday at lunch hour or during second recess, as determined by the lunch/recess schedule. Friday popcorn should begin as early as possible in the school year. This Committee purchases supplies and recruits volunteers to run the concession each Friday throughout the school year. The Chair is ultimately responsible for making sure all appropriate accounting of proceeds is done and handed off to the Treasurer. Volunteers may be asked to help at evening PTSA events.
Committee chairperson is responsible for encouraging participation by Cascade Ridge students, families and friends in Corporate Affinity (passive fundraising) programs supported by the PTSA. They also oversee submission and collection of required forms. The program includes relationships with Albertson’s, Inkjet Recycling, Target, e-scrip, General Mills Box Tops for Education, Issaquah Press, and more. Chairperson investigates the feasibility of other similar fundraising programs. Volunteers are needed to help facilitate the program throughout the year. The chairperson should submit updates on these programs every so often to the newsletter. The chairperson should also submit basic information and guidelines to be included on the website.
Committee provides forms to school community, tracks matching forms, and submits matching forms to corporations/companies that provide this program. Committee encourages matching funds for large fundraisers such as Walk-a-thon, auction, and giftwrap.
The Walkathon is a significant fundraiser and a fun family event. It can be held either in the fall or the spring. Committee is responsible for planning the event, designing the money-pledging process and forms, designing any incentives if appropriate, working with vendors as needed, recruiting volunteers to work before, during and after the event, obtaining possible local merchant sponsorships if appropriate, and handling all staff, parent and student communications and publicity. The chairperson should submit updates on the event to the Howler and Yelp and for the website.
The auction is an optional significant fundraiser that may be done in lieu of a walk-a-thon on the opposite year. Committee is responsible for planning the event, coordinating all aspects that relate to the auction such as procurement, decorations, class gifts/baskets, invitations, ticketing, and financial management. Chair is responsible to report to EC/B regular updates on the status of the auction planning.
This committee will organize a book fair. The PTSA sponsored Book Fair is held one time per year in conjunction with an opportunity to provide teacher gifts. February has been targeted as the best month due to incentives Scholastic will provide. The staff may supply wish lists from the books available at the fair. The coordinators act as liaison between the PTSA and the book company, schedule cashiers, arrange deposits with PTSA Treasurer, order supplies and arrange publicity for the fair. Approximately 20-30 volunteers are needed to set up displays, cashier, and take down displays.
This committee of volunteers will coordinate design (if appropriate), sales, ordering and distribution of various CoyoteWear items.
This fundraiser is done by many local schools, so it is important to set the dates and let the school community know as soon as possible what Cascade Ridge’s sell dates are. This committee chair will act as the liaison between the PTSA and the Gift Wrap company representative. They will organize a group of volunteers to help distribute selling materials, input orders, and settle any discrepancies. Grade level volunteers will organize additional volunteers as needed. Committee chair will be responsible for creating sufficient publicity to advertise the program and keep the EC and the school community updated on the success of our efforts.
This committee is in charge of coordinating school supplies requested by the staff at various grade levels, selecting a vendor, advertising in the Spring and taking pre-orders from the parent community of school supply packs. The committee is also responsible for the distribution of school supplies to the classroom and/or during Business Days.
