The VP of Communications oversees the following Standing and Ad Hoc committees:
In addition to overseeing these committees, the VP of Communications should maintain a “big picture” view of communications activities and possible master calendar conflicts. This VP should assist all committee chairs in making use of the communication tools available to publicize their event or project. This may mean helping them write articles, develop flyers, etc., with an eye to overall consistency in approach. This VP also oversees implementation of all publicity related to the Cascade Ridge PTSA, such as signage and bulletin board postings, and reviews the format, layout and content of the Cascade Ridge Howler newsletter each week.
This is a monthly publication that includes news about the school, PTSA, district and community. It is a partnership between the PTSA and the school. The committee chair will gather the articles on a monthly basis and arrange the newsletter in a reader friendly fashion. In addition, the chair may need to call people who have submitted articles for clarification or edification. Also, the chair should keep “filler” articles to help complete the newsletter if necessary and be able to contact committees that haven’t submitted an article in a while to suggest that they do so. The chair should work with the VP of Volunteers to make sure that volunteers for all committees and activities are being thanked in a timely manner. The chair may also talk to staff members about submitting articles (e.g. Library update on award winning books for the year, PE teacher for new physical fitness standards, Grade level teams about current activities or accomplishments by the students, Reading tips from the BEL teachers, etc.). The Howler is distributed monthly by the principal via ENews and posted to the PTSA website.
This is an electronic weekly bulletin which highlights important activities in the coming weeks. The committee chair will compile articles weekly and email final submission to the Principal for distribution via E-news. The latest Yelp is also posted to the PTSA website. The Yelp is published each Friday except when the Howler is published.
The chair of this committee shall update the Cascade Ridge PTSA website. This chair should maintain the site to make sure information is current. The web pages include but are not limited to information about what the PTSA is, how it fundraises, the programs it supports, contact information, forms, Legislative updates, a calendar, and links to our monthly and weekly newsletters. The chair should conform to any applicable PDC guidelines.
This committee produces an annual Cascade Ridge yearbook available for purchase by students and staff, and delivered in June. The yearbook features every class, specialist, and school group. It also highlights other activities that occur during the school year. About 8 volunteers who are comfortable with a camera are needed to photograph various school-wide and grade-level activities throughout the year. Also, 10-20 volunteers are needed for photo layout (Feb-early April); and another 2-3 volunteers are needed to assist with photo follow-up, sales and distribution (March – June). Photos submissions are due by early February. This committee also organizes the classroom yearbook volunteers (see below). The chair works with the yearbook vendor in negotiating pricing and deadlines. The chair will update the Cascade Ridge community through the school newsletter and website of the status of the yearbook and how to order. The chair will coordinate with the First Day Packet Chair and compile the orders received from the PTSA Order Form.
Classroom yearbook coordinator - The yearbook coordinator is responsible for taking pictures of their class events. One “lead” from each grade will be responsible for creating the pages online. These pages are to be completed by March. This volunteer can also coordinate having pictures taken in the classroom and during class activities to include in each grade level collage.
This chairperson acts as liaison between the Issaquah PTSA Council Parent Education representative and the Cascade Ridge community. They are responsible for seeing that articles are placed in the Howler/Yelp regarding parent education opportunities within our community. At times, they may be called upon to research a specific parent education opportunity and schedule a class or meeting in conjunction with a General Membership meeting.
Each year a student directory is printed and distributed with each individual and family paid PTSA membership (one per individual and two per family membership). Additional copies may be purchased for a fee. The directory is a highly valued tool for the Cascade Ridge community. To put the directory together, the chair will need to work with the office staff to utilize information from the district files. They must also provide each member with a way to elect not to have some or all information provided in the directory. The chair should also work with the Principal to see if the school would like other materials included in the phone directory. If so, then the cost of the directory will need to be adjusted. This committee needs to get underway immediately in Sept and give itself strict deadlines. Optimally, having the directory ready to hand out at a General Membership meeting in mid-October is ideal. Committee should work closely with the printer. An addendum, with corrections and additions, should be sent out in Jan. with any new families who have registered at Cascade Ridge. A directory information form should be included in all newcomer packets. Committee members assist with data entry, editing, proofreading, printing and distribution.
This chair will be in charge of putting up and taking down fliers and displays in a timely fashion. This person will make sure that all committees get equal access to the board. In addition, they will assist the front office with the portions of the board devoted to school and community news.
This committee photo copies and collates materials to go in an envelope that is sent home the first day of school. They also spend the first few weeks of school helping to process the forms that come back from the students. This person works closely with the chairs that have information included in the First Day Packets to ensure proper materials and data flow.
